Hours: Monday – Thursday 08.00 – 18.00 Friday 08.00 – 14.00

MAIN PURPOSE OF THE POST

We are looking for a responsible Personal Assistant to a specialist dentist to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to manager’s working life and communication and will also work as part of the dental team

RESPONSIBILITIES

• Act as the point of contact between the manager and internal/external clients

• Screen and direct phone calls and distribute correspondence

• Handle requests and queries appropriately

• Manage diary and schedule meetings and appointments

• Make travel arrangements

• Take minutes and write up reports for meetings

• Devise and maintain office filing system for all relevant paperwork

• Administration for Charity

• Assist with property portfolio

• Undertake reception duties as and when required

• Administration with the Dental Wellness Trust – helping to organise conferences and courses.

• Dental practice and helping with day to day planning

• Charity helping with the introduction of the dental van , grant applications and organising conference 

• Property letters as needed 

• Projects we undertake in all aspects

• Book project editing and getting the book published

• Lecturing and travel schedule

• Some reception duties when necessary 

REQUIREMENTS AND SKILLS

• Proven work experience as a Personal Assistant

• Knowledge of office management systems and procedures

• MS Office and English proficiency

• Outstanding organisational and time management skills

• Be able to work with their own initiative and be proactive in making decisions

• Up-to-date with latest office gadgets and applications

• Ability to multitask and prioritize daily workload

• Excellent verbal and written communications skills

• Discretion and confidentiality

• Event Management
