Where You At (WYA) is seeking a highly organised, detail orientated and enthusiastic administrative assistant to assist a dynamic CEO, manage scheduling and support efficient office operations.

Where You At (WYA) is an award-winning female-led app seeking to improve and elevate the nightlife, festival, and event experience. Backed by the Night-time Industries association, Where You At is the first data-enabled, venue mapping app, which allows users to locate their friends and stay connected in venues and festivals, even in areas with no internet connection, phone signal, or WIFI; powered by Bluetooth.
Your Role:
Assistant to the CEO: Support diary management, meeting scheduling and task prioritisation.
Office administration: Support wider team with ad hoc tasks, own filing and administrative systems and ensure that office is kept in good order. Essential that the successful candidate will attend the office every-day during office hours.
Assistant to CEO:
– Manage personal and professional diary of CEO
– Schedule meetings, co-ordinating with wider team and balancing priorities
– Assist in managing task & to-do lists
– Draft, review and send communications on behalf of CEO as necessary
Team support:
– Book travel arrangements as needed
– Arrange meeting rooms within office building, keep detailed meeting notes as required
– Monitor and assist in organisation of wider team calendars, own scheduling of team meetings and events
– Answer and direct inbound email and telephone inquiries
– Maintain, organise and order general office and marketing supplies, including paper, pens, ink/toner, etc., to ensure teams have everything they need to succeed
Administrative support:
– Own Google Drive filing system, following established protocols; cleanse and tidy internal clerical systems as needed
– Assist in the maintenance of accurate and up-to-date client records
