Jewish Futures is a large Jewish educational charity which functions as a platform for a number of dynamic organisations and initiatives that it creates, incubates and scales up, propelling each forward to ensure vibrant Jewish futures. Each organisation under the Jewish Futures’ umbrella has its own scope, audience and identity. Together they form the Jewish Futures family.  We are looking for an experienced Executive Assistant to support our busy CEO and help facilitate his vision. The ideal person will be highly organised and able to multitask and prioritise whilst maintaining attention to detail. They will have exceptional interpersonal and communication skills and the ability to keep the CEO on course with his schedule and objectives. This role is as busy and fast-paced as it is diverse, so those who thrive on variety will love this full-time position which works closely with a dynamic and energetic CEO. 

 

JOB PURPOSE 

As the Executive Assistant to the CEO, you will provide comprehensive secretarial and administrative support. Acting as their first point of contact, you will be responsible for managing their schedule, 

arranging appointments and handling incoming communications. In addition, you will be involved in various tasks such as producing documents, conducting research and managing travel arrangements. 

 

MAIN DUTIES 

• Provide secretarial and administrative support to the CEO including maintaining donor relations, meetings and communications by the CEO 

• Assist CEO in achieving his objectives and the development of projects and other JF organisations, such as conducting research to support strategic decision-making 

• Manage and maintain schedules, appointments, and travel arrangements. This includes blocking times in the CEO’s diary, allowing him to focus and complete tasks 

• Manage CEO’s To-Do List and ensure things are completed by them on time 

• Produce high-quality documents, minutes, board meeting notes, reports and presentations 

• Monitor & screen CEO’s emails, telephone calls and WhatsApp group messages, dealing with them as appropriate 

• Assist alongside extended team in arranging meetings, seminars, conferences and dinners. This includes booking hospitality, venues, transport, catering & decor as well as taking minutes, circulating papers and any required follow-up on action points 

• Collaborate with internal departments to ensure seamless operations  

• Any other duties as reasonably required.  

REQUIRED EXPERIENCE & SKILLS 

• Minimum 5 years Executive Assistant experience with superlative secretarial skills and report writing 

• Exceptional written and verbal communication on skills, accustomed to interacting with Senior Management, Trustees, Stakeholders and people of all levels 

• Excellent organisational and multitasking skills, with the ability to effectively prioritise a heavy workload and work to tight deadlines whilst maintaining excellent attention to detail 

• Ability to uphold confidentiality and discretion in handling sensitive information 

• Good numeracy skills and proficiency in MS Office and CRM databases 

• Canva and Excel proficiency an advantage  

• A problem solver who is resourceful and can think outside the box 

• Knowledge and understanding of the Jewish community, religion and culture.
