Working Hours

• 27 hours per week, typically 10:00am to 3:30pm, Monday to Friday.

• Fully Office-based.

• Some flexibility in working hours may be considered for the right candidate.

About the Role

We are seeking an organised, experienced, proactive and discreet Personal Assistant to support the Directors of a private family office. This is a varied role offering responsibility across executive support, travel coordination, office management, property administration and charitable activities. The successful candidate will be highly organised, able to manage multiple priorities and confident handling both business and personal matters with professionalism and discretion.

This is an office-based position.

Key Responsibilities

Executive & Personal Support

• Managing busy and ever-changing diaries for the Directors.

• Arranging business and personal travel, including flights, accommodation and detailed itineraries.

• Scheduling appointments and coordinating meetings.

• Managing business and personal correspondence.

• Booking restaurants, hospitality and other personal engagements.

• Providing day-to-day administrative support to the Directors.

• Administering and filing (electronic and hard copies) documentation

Office Management

• Overseeing the smooth day-to-day running of the office.

• Ordering office supplies and maintaining stock levels.

• Welcoming visitors and ensuring a professional office environment.

• Liaising with suppliers and service providers.

• Supporting the efficient running of the office and general administration.

Property Management

• Assisting with the management of a small residential property portfolio.

• Liaising with managing agents, contractors and other third parties.

• Coordinating maintenance works and repairs.

• Monitoring service charge budgets, insurance renewals and compliance requirements.

• Maintaining accurate property records and documentation.

Charity Administration

• Assisting with the administration of the family's charitable activities.

• Maintaining records of donations and charitable commitments.

• Preparing correspondence relating to donations and grants.

• Liaising with charities and other organisations as required.

Additional Responsibilities

• Assisting with insurance administration, including private medical insurance.

• Supporting the organisation of small business and charitable events.

• Carrying out general administrative duties as required to support the Directors and the family office.

About You

The successful candidate will:

• Have previous experience in an administrative, office management, coordination or similar role, demonstrating the skills required for this position.

• Be highly organised with excellent attention to detail.

• Be able to manage a varied workload, prioritise effectively and work independently.

• Be proactive, resourceful and confident using their own initiative.

• Have excellent written and verbal communication skills.

• Be professional, discreet and able to handle confidential information.

• Be proficient in Microsoft Office, particularly Outlook, Word and Excel, Claude or ChatGPT

• Have a positive, flexible approach and enjoy working in a varied role.
