Role Overview
The Synagogue is seeking a highly organized, computer literate and proactive Administrator to support the Board, day-to-day running of the shul and its activities.
You will be dealing with members of a friendly, charismatic and aging community where time and patience is of the essence. This is a part-time role (approximately 16 hours per week), with flexibility required around Yomim Noraim, Yom Tovim and community events. The role covers administration, communications, finance support, event coordination and liaison with members, volunteers, contractors and external organisations.
Key Responsibilities
1. Membership & Community Administration
• Maintain and update the membership database and contact lists.
• Manage new member applications, including welcome communication.
• Track and follow up outstanding subscriptions and pledges.
• Maintain records of donations, standing orders and payments.
• Maintain yahrzeit database.
• Update records on C4S (Instruction provided)
• Liaise with the Federation regarding membership and burial matters.
• Prepare a monthly membership report.
2. Finance & Bookkeeping Support
• Manage day-to-day financial administration.
• Record donations and payments.
• Process collections and vouchers.
• Liaise with shul’s FR.
• Maintain records of pledges and debts.
• Prepare monthly financial summary.
• Maintaining Petty Cash and spreadsheet
• Chase outstanding debts
3. Communications & Newsletter
• Produce and distribute weekly newsletter (email & WhatsApp)
• Update website and noticeboards.
• Manage communications and mailing systems.
4. Events & Logistics
• Maintain events calendar.
• Coordinate bookings, catering, security and cleaning.
• Support delivery of events (Yomim Noraim, Purim, Kiddushim etc.)
5. Board & Governance Support
• Attend board meetings and take minutes.
• Prepare agendas and minutes.
• Track action items.
6. External Liaison
• Liaise with Federation and external bodies.
7. Person Specification
• Highly organised and reliable.
• Strong communication skills.
• Ability to work independently.
• IT competent.
• Discreet and professional.
• Familiarity with Orthodox Jewish community (preferred).
