Office Administrator – Planet Universe

Hours: 16-20 hours per week to include Sundays 9.45-1.15pm (at least every other Sunday)

Planet Universe is a vibrant community centre dedicated to providing enriching experiences for children, families, and individuals of all ages in the Edgware community. Our programs and activities foster creativity, promote lifelong

learning, and build a sense of community and togetherness among our members.

Key Responsibilities:

● Oversee the day-to-day administrative operations of the office, including managing incoming calls, emails, and correspondence.

● Coordinate and schedule appointments, meetings, and events for staff members and external stakeholders.

● Maintain office files, records, and databases in an organised and efficient manner, ensuring accuracy and accessibility of information.

● Assist in the preparation and distribution of documents, reports, and presentations for meetings and presentations.

● Manage office supplies, inventory, and equipment, ensuring adequate stock levels and functionality.

● Assist in the recruitment and onboarding process of new staff members, including coordinating interviews and processing paperwork.

● Support the office manager in implementing and improving office policies, procedures, and systems.

● Handle confidential and sensitive information with discretion and professionalism.

● Assist in financial tasks, such as invoicing, processing payments, and maintaining financial records.

● Liaise with external vendors, suppliers, and service providers to ensure smooth operations and resolve any issues or concerns.

● Provide administrative support to other staff members as needed, including data entry, filing, and document management.

● Perform other duties and tasks as assigned by the office manager or senior management.

Qualifications and Skills:

● Proven experience in office administration or an administrative support role.

● Excellent organisational and time management skills, with the ability to prioritise tasks effectively.

● Strong attention to detail and accuracy in completing tasks and managing information.

● Proficient computer skills, including knowledge of Google Suit, Canva, MailChimp, WordPress, and Jotform

● Effective communication skills, both verbal and written, with the ability to interact professionally with staff, clients, and stakeholders.

● Ability to work independently and collaboratively in a team-oriented environment.

● Demonstrated ability to handle confidential and sensitive information with integrity and discretion.

● Flexibility and adaptability to changing priorities and deadlines.

● Positive attitude, proactive approach, and willingness to take on new]challenges.


● An understanding and track record of community organising and/or community development

● Passion for community and charity, with an interest in contributing to the mission of Planet Universe.
