Head of HR, Business Support & Governance – Chai Cancer Care

Overview of the Role

This is a new, exciting role working closely and effectively with the Executive Chair and Chief Executive as a Senior Manager within the organisation. This role is varied with a primary focus on HR management and operations.

Given the purposes of the charity, the post-holder will be expected to act with sensitivity, discretion and confidentiality, and play a part in supporting staff at difficult times.

Main Responsibilities

Human Resources

Provide an efficient and effective human resources administration system and work with line managers; the charity will grow in significant employment numbers to 2025.

-Recruitment

  • Work with line managers to prepare job descriptions, advertisements or additional means to generate candidates.
  • With Managers, short list candidates and convene recruitment interviews.
  • Manage candidate rejection process and give feedback to candidates if requested.
  • Manage the job offer process including appointment letters, follow-up on references, verify qualifications, obtain any statutory requirement, arrange start dates and induction procedures. Open and maintain human resource record. 

-Policies and Employment documents

  • Maintain employee working records e.g. holiday, sickness and other absences, training records
  • Maintain Staff and External Consultants handbook.

-Performance Management

  • Coordinate the annual Appraisal cycle, attend individual meetings as required, action recommendations. 

Corporate Governance

  • With the Executive Chair, set the annual cycle of Board and committee meetings, notify attendees, and ensure all appropriate facilities in place including for virtual meetings. Work with the Executive Chairman to provide Board and Committees support. 
  • Ensure accurate Minutes of Meetings are produced and on a timely basis; maintain the Minute books and other registers.
  • Keep the register of Trustee appointments, conflict of Interest declarations, confidentiality agreements etc.
  • Deal effectively with legal enquiries; serve as the nominated Data Compliance officer, including GDPR. Ensure data is secured, especially clinical data.
  • Ensure internal procedures including on Procurement, Health & Safety, Safeguarding, Confidentiality, Use of Premises etc are current and being applied.
  • Provide advice to the Trustees and Chief Executive on the proper conduct of the Charity’s affairs. 
  • Liaise with other Agencies to ensure the Charity is working to high standards in Compliance, support Audit and the filing of records.
  • Ensure the highest standards of Board and Committee support in terms of planning, servicing and recording of meetings, maintain the corporate records of the charity.

Finance

  • Help continue to ensure the Charity delivers Value for Money, for clients, donors and supporters. 
  • Coordinate the Financial Function or the Charity; work with the Financial Trustee, Executive Chairman, CEO and the finance team. Maintain effective relationships with the charity’s Bankers and Advisors.
  • Coordinate production of Annual budgets and monthly financial reports, provide commentary on Actual performance. 

Risk and Insurance

  • Maintain and regularly review and update as required the Charity’s Risk register.
  • Bring to the attention of the Executive Chair and/or the Chief Executive on a timely basis, items on the Register which increases the Charity’s exposure to predetermined high risk.
  • Review, maintain and keep current the Charity’s Register of Insurances and ensure all insurances are permanently on cover, and manage Claims.

Head Office building and Environment

  • Be accountable for office services to ensure the building and the environment is of the highest standard.
  • Oversee the work of the Head Office Manager, ensure contractors are meeting the standards required, contract obligations are monitored, approve routine expenditure within levels agreed from time to time.
  • Be line manager for the Head Office Manager and delegate effectively through her. 
  • On confirmation of major building works at the Hendon site, act as liaison for Chai with the technical teams and contractors. 
  •  Liaise with IT provider to ensure service level agreements are maintained. Act as IT first point of contact with external suppliers.

Candidate Profile

  • Professional experience in Human Resources, Corporate Governance and Finance.
  • A relevant professional HR qualification.
  • Ability to successfully develop this new role with a demonstrable track record of delivering targets to time and budget.
  • Able to work effectively with Chai's Trustees and Funders, many of whom are senior figures in industry and commerce.
  • An understanding of the Not-for-Profit sector. Employment or voluntary experience in the Jewish charity sector is desirable but not essential. A genuine interest in working within the Jewish community is essential.
  • Experience of working in a multi-gender environment.
  • Well developed interpersonal skills and a high level of emotional intelligence. Able to support colleagues at difficult times.  
  • Be an ‘ambassador ‘ for Chai. Represent the organisation to relevant third-parties including professional advisers, suppliers and other stakeholders.
