The role of Administrator/Office Support lies within the Paraplanning Department, working alongside the Paraplanners to assist the advice process in a compliant and efficient manner, by means of the following: 

• Managing client data on X-Plan (back office system), specifically with regards to: 

• Inputting Fact Find information

• Scanning and attaching Fact Finds

• Inputting agreed service level and fee information from the Client Agreement

• Scanning and attaching client agreements  

• Maintaining our client ID records

• Inputting data consent information 

• Scanning and attaching data consent documents 

• Maintaining our client attitude to risk records (inputting client risk scores and scanning and attaching the RPQ and signed client declaration)

• Managing their workload by using tasks on X-Plan 

• Preparing meeting packs and compliance documents in readiness for client meetings. 

• Scanning documents, photocopying and maintaining client files.

• Running client risk profiles through Dynamic Planner. Liaising with the Paraplanner/Adviser to agree the client’s attitude to risk.

• Basic telephone calls to insurance providers to obtain valuations and/or specific information (as overseen by the Paraplanner) 

• Meet and greet of clients into the office and settling them in to a meeting room. Making and serving tea/coffee/refreshments.

• Reception cover duties, to cover receptionist. 

Person Specification

The role would suit an individual who:-

• Lives locally to Finchley Central or within an easy commute and enjoys being office based.

• Has at least a basic knowledge of Microsoft Outlook, Word and Excel.

• Possesses excellent English Language verbal and written skills.

• Has a helpful, confident, friendly and welcoming demeanour.

• Possesses exemplary attention to detail and is highly organised.

The role is suitable for a candidate looking for a long term position in administration and does not require the individual to study, undertake examinations or be working towards completing the Diploma in Financial Planning. However, if the applicant is looking to progress a career in Financial Services and/or within the company, this would the path to follow, if desired. After successful completion of probationary period (standard six months), consideration would be provided to offer a relevant Apprenticeship qualification.

The salary is at trainee level and will somewhat depend on relevant experience (any form of office experience is acceptable, as full training will be provided).

The role is available immediately. Once candidates have been shortlisted, the first stage of the recruitment process will be undertaking our online competency tests which test basic numeracy, basic literacy, general aptitude, attention to detail and a short personality profile. Thereafter, shortlisted candidates will be offered an interview with the hiring manager.
