Events Assistant- ORT

ROLE OVERVIEW:
We are seeking a high energy candidate for this central role in the Chief Relationship Officer’s Division.  Reporting directly to the Head of the Governing Bodies Liaison Unit, you will be responsible for the organisation of both local and international conferences, meetings and all events for World ORT as well as overseeing the running of group fundraising missions and visits to ORT’s projects and activities worldwide. You will be highly organised with strong time management skills, high attention to detail and enjoy working as part of a team as well as being able to work independently.  You will be able to demonstrate excellent relationship management skills as a key factor of this role will be working with a range of high level stakeholders.

ORGANISATIONAL POSITION:
The Events Assistant will be responsible to the Head of Governing Bodies Liaison Unit as well as the CRO and will be part of the CRO’s team.

KEY RESPONSIBILITIES (but not limited to):
•    Organisation of international governing body meetings and conferences for ORT’s worldwide senior leadership team, lay leaders and donors 
•    Coordinate suppliers and all event logistics (e.g. accommodation, venue, catering, audio-visual facilities, materials, speakers, entertainment, travel etc.)
•    Preparing and distribution of attendee registration forms, recording, monitoring and updating attendance 
•    Acting as the main point of contact for participants including board members, trustees and ORT’s international professionals 
•    Budget preparation for large international meetings along with the Head of Governing Bodies 
•    Responsible for management and updating the events page on the World ORT website
•    Assisting with contract negotiation with hotels, suppliers and event producers
•    Preparing delegation packs and all collateral e.g. invitations, name badges, tent cards etc.
•    Preparing, distributing and following up on invoices
•    Prepare letters of invitation for visa purposes
•    Arranging shipment of materials to international locations for meetings
•    Hands on supervision of both local and international events including:
o    Board of Trustees meetings, Meetings of the World ORT Officers, Board of Representatives and General Assembly, World ORT missions 
o    Assistance with ad-hoc internal ORT events
o    Events support for international ORT organisations 
•    Providing administrative assistance to the Head of Governing Bodies 
•    Coordinating visits and missions for potential and existing donors to World ORT’s operations in Latin America, the former Soviet Union and Israel

SKILLS AND PERSON SPECIFICATION:
•    Previous experience in event organisation and delivery 
•    Excellent organisational skills and high attention to detail
•    Excellent communication and interpersonal skills 
•    Proven project management skills
•    Strong multi-tasking skills
•    Experience with negotiation skills
•    The ability to manage budgets
•    Self-motivated and enthusiastic
•    Highly proficiency in Microsoft Office applications especially Excel, Powerpoint and Word
•    Problem solving skills and diplomacy 
•    Excellent time-management skills and the ability to work under pressure 
•    A flexible work approach
•    Excellent command of written and spoken English
•    Ability to work flexibly with people of different cultures, languages, etc.
•    An eagerness to work within the charity sector 
•    Knowledge of Jewish social issues and Jewish philanthropy would be advantageous
•    Knowledge of other languages is an advantage
•    Experience with CRM will be advantageous

HOURS OF WORK:
Office hours are 09:00 – 17:30 Monday to Thursday and 09:00 – 14:00 on Fridays.

This role may involve working out of hours and occasional international travel.
