PA to CEO (maternity cover)- Jewish Leadership Council

The central purpose of the Personal Assistant to the Chief Executive (CEO) is to provide an efficient administrative, organisational and logistical service to the CEO, to help to support the CEO in managing the Board of Trustees and the Council as well as Trustee Sub-Committees and other bodies convened by the JLC. The successful candidate will have lead responsibility for the CEO’s diary and to support all aspects of the CEO’s work. The role will involve being the visible representative to CEO on administrative and company secretarial matters. As part of this role, the post-holder is also expected to perform a series of general office support activities and daily tasks.

  • Proactively manage and maintain the CEO’s diary and daily movements
  • Deal with incoming calls for the CEO and assist in email management
  • Organise meetings and logistics
  • Ensure that the CEO has all preparatory materials for forthcoming meetings and engagements
  • Conduct weekly diary meetings with the CEO to discuss upcoming events and responses to requests
  • Co-ordinate travel and accommodation requirements for the CEO (to include daily travel arrangements)
  • Keep and maintain an accurate record of papers, files and electronic correspondence on behalf of the CEO
  • Prepare and send correspondence on behalf of the CEO
  • Compile receipts and financial information relating to the activities of the “Office of the CEO”
  • Prepare agendas and take minutes at meetings
  • Ensure key contacts of the CEO are dealt with appropriately
  • Maintain relationships with PAs and secretaries of key JLC members and key external contacts
  • Manage relationships and support the JLC Board of Trustees, the Council and Sub-committees
  • Meet and greet visitors
  • Ensure that general office space is kept clean, tidy and presentable
  • Plan organisational wide meetings and logistics
  • Maintain office systems, including data management and filing
  • Liaise with staff, suppliers and where agreed other external stakeholders
  • Responsible for dealing with incoming calls, enquiries and requests
  • All aspects of general & project/event specific administration
  • Maintain and constantly improve administrative procedures and systems
  • Produce and update letters, documents, briefing papers, reports and presentations
  • Complete and submit forms
  • Update contact lists
  • Assist in maintaining financial records and reporting
  • To administer company secretarial duties such as keeping Companies House and Charity Commission up to date.
  • Compliance with internal policies and procedures
