Programme & Office Support

This person will be responsible for programme support for Links and other projects depending on hours worked.  Working as part of a busy and dynamic team, you will be involved in a wide range of tasks to ensure the smooth and professional delivery of all programmes.  You should be able to work independently, manage conflicting priorities, have excellent organisational skills and be able to speak confidently to a range of people. 

Hours: Approximately 15 - 28 hours per week

Detailed Description 
•    Co-ordinating all aspects of administration and support of programmes, including the publicity, equipment, food and personnel required and overseeing the smooth running of the programmes and events on an on-going basis. 
•    Overall co-ordination of the marketing. This involves in liaising with the graphic designer and videographer if required. 
•    Preparing the all materials for programmes, including ensuring appropriate activities are arranged and all the required materials for the programmes are ordered and taken to the correct location on an on-going basis. 
•    If necessary, attending all programmes that require programme support as required. This will include some evenings or Shabbos’s (time off will be given for extra work). 
•    Ensuring required foods and other general effects that are needed for the programmes are ordered and collected within agreed timeframes. 
•    Liaising with participants and delegates from programmes. 
•    Booking speakers and confirming details final details with all speakers.  
•    Taking payment and recording from participants at sessions. 
•    Arranging cleaners and other paid support as required. 
•    Ensuring all the participants information collected is given to the database administrator. 
•    Co-ordination and arrangement of the fieldworkers, both volunteers and professionals, to support programmes and working with admin personnel within the schools as required.
•    Any other tasks which may reasonably be requested by the company as relevant to this type of post and acknowledging the changes in current systems and processes.

Person Specification 
The role relies heavily on being proactive, self-motivated and enthusiastic, and both able to take direction and work using their own initiative. The candidate will need a high level of IT proficiency, excellent attention to detail, be organised and efficient.  The ideal candidate will believe passionately in the cause of kiruv.
