MAIN PURPOSE OF THE ROLE 
We are looking for a reliable and self-motivated Office Administrator. The job holder will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. They will be the first point of contact for JNF UK and their primary responsibility will be to handle all incoming calls and emails on a timely basis. They will be working under the direction and authority of the Chairman’s PA and the Head of Marketing to assist with written material and general administrative duties. 

PRIMARY RESPONSIBILITIES 
  • Welcome visitors and providing assistance as needed
  • Answering incoming phone calls and the office intercom and direct to the appropriate person
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Manage the out-of office answer machine
  • Create and update records and databases with personnel, financial and other data
  • Mailing out of brochures and marketing material 
  • Draft, format, and print relevant documents
  • Processing donations over the phone
  • Managing invoices and receipts
  • Proof-reading material produced by other departments
  • Printing and compiling documentation as required 
  • Maintaining office files to ensure we are GDPR compliant
THE IDEAL CANDIDATE 
  • Experience in office administration or relevant field is preferred
  • Excellent computer skills, including Microsoft Office (Word, PowerPoint, and Excel)
  • Excellent written and verbal communication skills
  • Outstanding communication and interpersonal abilities
  • Highly organised multitasker who works well in a fast-paced environment
  • Competent in prioritising and working with minimal supervision
  • Excellent organisational skills
