Junior Assistant – Chabad Belgravia

Job Description:

● First point of call when coming into office, dealing with packages/ parcels and letters, fielding these to the relevant people

● Acting as first point of call for all incoming guests/ meetings, directing to relevant person

● Providing drinks for meetings, clearing up after and resetting

● Dealing with any maintenance issues (monitored by line manager) but identifying relevant tradesmen etc, liaising with caretaker

● Ordering and organizing office supplies, keeping track of these

● Ordering weekly shop, liaising with people in office for what they need, potentially streamlining all KK orders for Gan/ Chabad and events when required

● Organizing cars for collection of all orders

● Organizing couriers when required

● Being the first point of call for any IT/ internet/ printer issues, organizing printer supplies/ toner etc and staying abreast of this

● Managing bills/ supplier accounts for Chabad/ director

● Research into transport/ flights for guests we are hosting for events and management if required

● Cover for PA / Gan/ Events whilst on holiday

● Printing/ scanning and filing

● Organizing a filing system for Chabad

● Assisting events team with vendors/ suppliers on day of events (workdays)

● Assisting events manager with booking hotels/ cars for events when and where required (guests), providing itineraries if required

● Manage High Holiday supplies (for example, Lulav and Etrog orders, Travel Menorahs, Pesach meals etc), assisting with packing any of the above, this will be done primarily by the event manager and under their guidance

● Ad-hoc work when required by more senior staff

● Printing/ cutting for Gan/ Cteen, assistance with events they host

● Ad Hoc assistance with events during the busier periods

● Set up for any internal classes, organizing foods, chairs etc when required

● Sending weekly reminders for classes

● Take post to post office

● Preparation and sending of the weekly newsletter
