Executive Assistant & Administrator- JNetics

Role Purpose
This is a full- time role to provide administrative and organisational support to the Executive Director to ensure smooth day to day running of the charity - including database and diary management, and supporting donor management, fundraising events, and external and internal communications.

About Jnetics and the GENEius Programme
Jnetics is the only charity dedicated to improving the management and prevention of Jewish genetic disorders (JGDs) in the UK. 
Jnetics works to improve awareness and access to carrier screening for severe, recessive JGDs in partnership with the NHS to reduce the incidence of these devastating conditions.  They also raise awareness of heredity cancers that are relatively more prevalent among Jewish people and how these can be better managed.
In November 2016, Jnetics launched its flagship GENEius Programme targeted at young Jewish adults. This involves developing and delivering education about JGDs and the importance of screening to Jewish sixth formers, Jewish university students and couples going through the synagogue pre-marriage process. Since then, over 1000 Year 12 Jewish students have been educated and over 800 people have been screened through the GENEius programme or via the Jnetics' clinic at Barnet Hospital. Jnetics is now developing the GENEius university programme and, working with all the synagogues to expand their pre-marriage activities. 
Supported and endorsed by all the synagogue movements, key community leaders and the Jewish press, the GENEius programme aims to change the mindset of the UK Jewish community so that JGD education and screening becomes standard practice as it has been for many years in other Jewish communities abroad.

Main duties and responsibilities
  • Manage and maintain the charity’s central database (ThankQ). You will be the key owner and super user. 
  • Diary management – both ED’s diary and the Jnetics calendar, note taker at key meetings
  • Communications support – respond to all general email and telephone queries.
  • Fundraising administrative support – help implement the donor management strategy, including:
o    Maintain ongoing relationships with donors 
o    Drafting and ensuring periodic updates/reports to major donor and trusts.
o    Helping research and support communication with new potential funder leads. 
o    Help co-ordinate and provide admin support for a small portfolio of community fundraising events and campaigns e.g. Fun runs, supper quiz, festival campaigns etc to ensure smooth running of events maximise donor income.
o    Offer admin support to individual first-time fundraisers (e.g. marathon runners/school fundraisers) providing guidance and support increase donor involvement and income.
  • HR management support – create processes and systems for key HR activities
  • Provide file and office management support
  • Work with the GENEius project manager and other team members to support the delivery of the GENEius programme including providing support for the smooth running of school, university, pre-marriage events and clinic bookings where necessary.
  • Occasional weekend and evening working for events is required with travel.
Skills and Knowledge Required
  • Experience working with relational databases - familiarity with ThankQ (our database) is a bonus
  • Operational knowledge of Microsoft Office – able to produce, manipulate and effectively present information to diverse audiences 
  • Excellent time-management and organisational skills with the ability to manage conflicting priorities and to work flexibly as agreed with the line manager.
  • Very strong written and oral communication skills - to communicate and positively influence donors and other charity stakeholders and contacts.
  • Good interpersonal skills – ability to build good relations with a range of external contacts and with internal team members.
  • Familiarity with the Jewish community and charity sector (desirable)
