Administrator- Moishe House

Position Description:
The Administrator for Moishe House’s International Office provides logistical and administrative support for Moishe House Retreats and the Without Walls programme, ensures the smooth running of the London office, and provides administrative support to the Chief Global Officer and members of the International Team as required. This position requires a highly organized and motivated individual with excellent communication skills, and the ability to work with a diverse team. International travel is required.
This position is based in Moishe House’s London Office in the UK, and reports directly to the Chief Global Officer (CGO).

Essential Job Duties:

Retreat Logistics and Moishe House Without Walls
  • Coordinates retreat logistics for 4-5 international retreats per year.  Researches and secures vendors for lodging, transportation, event services, etc. 
  • Communicates all Retreat Team needs to vendors and process payments.
  • Manages all aspects of retreat registration, addresses all questions and customer service needs related to the retreat experience.
  • Prepares on-site logistical materials for the Retreat Team & provides administrative support from Headquarters.
  • Tracks and budgets all Retreat expenses, processes all programme finances, including expenses, sending receipts and logging invoice payments.
  • Works with the International Director of Jewish Education, ensuring effective systems are in place for the monitoring and evaluation of the programmes.
  • Provides customer service and reimbursement support for Moishe House Without Walls programmes on our backend system.
Office Administration
  • Provides administrative support to the Chief Global Officer, including maintaining calendars, assisting with travel and research and preparing internal reports.
  • Conducts research and assists team in preparing presentations and reports.
  • Helps organize and maintain donor database system.
  • Provides support to the team for income processing with detail-oriented data entry.
  • Collects data for grant proposals and reports.
  • Coordinates with local suppliers in order to maintain a stock of Moishe House materials and office supplies.
  • Serves as the first point of contact for queries on the telephone.  
Minimum Education and Experience:
  • Bachelor’s degree preferred
  • Experience with administrative, event-planning, and logistics work required
  • Experience providing administrative support in an office environment (paid or voluntary)  required
  • Strong technical skills and full competencies in the Microsoft Word, Excel, PowerPoint, Google Docs and Google Sheets required.
  • Experience in using Salesforce for data entry preferred.
  • Proficient using social media.
  • Eligibility to work in the UK

This position is based in London, UK, and works in Moishe House’s International Office with other Moishe House professionals.  This is a full time position with regular (primarily regional) travel required, and reports directly to the Chief Global Officer
