Events Coordinator- Westminster Synagogue

In collaboration with professional and lay leadership, envision, coordinate and implement the Community’s event programming with the objective of inspiring and maximising family and individual participation in congregational life, as well as attracting prospective members, and ensuring that all programmes align with the mission and vision of Westminster Synagogue. 
The new position of the Events Coordinator will require strong attention to detail, excellent technical skills, resourcefulness, and the ability to juggle multiple tasks.  
Knowledge of the Jewish calendar, traditions and culture is preferred, or a willingness to learn, as well as a high level of English.  
The duties of the Events Coordinator include: 
Programming
  • Together with the Events & Communications Manager and committees, brainstorm and create new ideas for cultural and educational programmes for members and evaluate recurring programme and develop new initiatives to supplement and/or replace existing ones  
Marketing & Communications:
  • Create communications using graphic design, and web-based applications to engage both Westminster Synagogue & the greater community across all demographics
  • Maintain and update the Synagogue website
  • Market all WS programmes as an opportunity for Jewish learning.
  • Have strong ownership on WS and WYP Social Media Platforms
  • Research new ways to advertise events and programmes outside of community
  • Newsletter and quarterly mailings and electronic notifications to members including uploading to website
  • Keeping the community information leaflets/holders up to date with current event advertising 
Events & Administration 
  • Attend and coordinate the running of events, working with volunteers and other staff members to ensure all is on track
  • Complete paperwork relevant to programming (scheduling, room set-ups, payment requests, post-programme financial reports and debriefs) and theme and decorate rooms for specific events – have a good eye for design 
  • Notify stakeholders of necessary logistical needs (rooms, resources, etc.) and ensure all supplies are ordered and available for events  
  • Minute Action points and AOBs from weekly logistics meetings and circulate to staff
  • Attend and serve as minute taker in relevant meetings as well as providing administrative support to the front office staff as required
  • Assisting in creating a menu for certain events as well as helping in the kitchen when needed – good culinary knowledge.
  • Assisting at Synagogue and festival events (may require evening/weekend work) 
  • Assistance with managing and working with Events Interns
  • Other reasonable tasks that will help contribute towards a thriving a community 
Professional Skills 
  • Excellent organisational skills
  • Technically savvy and skilled in social media, interior design and graphic design
  • Strong communication skills, verbal and written
  • Excellent computer skills, particularly with Excel and Word, with proficiency in graphic design programmes  (e.g. Illustrator, Photoshop, Publisher)
  • Ability to manage multiple tasks successfully in a collaborative and fast paced environment.  
  • The confidence to liaise with speakers from the media and entertainment fields, professional bodies and a diverse range of member contacts.
  • A welcoming and helpful approach when dealing with members in person at events and over the telephone
  • Ability to work independently and collaboratively with other staff members with an eagerness to learn more and ability to ask for help when needed as well as learning from other sources
