PA to Chief Programme Officer and Education Programme Administrator- World ORT

Education, Programme and IT Department
  • To offer administrative and clerical assistance to the Chief Programme Officer and members of the Coordination and Education Departments
  • Diary management
  • International travel including flights, tickets, hotels and visas for the Chief Programme Officer and members of the Coordination and Education Departments
  • Scheduling meetings for the Chief Programme Officer
  • Answering phones and making calls when required
  • Minute taking in meetings when required
  • Dealing with the post and outgoing correspondence
  • Administration of file management, storage and retrieval
  • Coordination of international seminars and summer schools, including travel, visa, food and all other logistical arrangements
  • Scheduling meetings for the Chief Programme Officer and Head of Education Departments
  • Assist with general enquiries
  • Help in any duties requested by the Head of Department or senior Management of World ORT
  • Hosting meetings
Director General Unit
  • Assisting DG PA and EA with general office duties as and when required.
  • To be highly proficient in all Windows applications specifically Outlook, Word, Excel & Powerpoint and other IT applications
  • Excellent communication skills
  • To be highly proficient in both written and spoken English
  • Other spoken languages would be advantageous
  • Previous proven experience in a similar role and an eagerness to be a professional personal assistant and administrator
  • Ability to work flexibly with people of different cultures, languages etc.
  • An eagerness to work in the charity sector
  • The ability to work under pressure

  • To participate in other activities of World ORT as required

  • To follow protocol with respect to financial procedures

Office hours are 9.00am – 5.30pm Monday to Thursday and 9.00am - 2.00pm on Fridays.
This role may involve working out of hours and occasional international travel.
