Building and Facilities Manager- World ORT

The World ORT Building and Facilities Manager is responsible for the management of ORT House supporting the Chief Financial Officer to deliver a high level, effective, secure, safe and efficient building and facilities management service to the Trust and all building occupants. The role will provide assurance for the trustees that ORT House, its facilities and security are maintained at all times to provide a safe and efficient environment for the Trust, staff, tenants and visitors. 

The Building & Facilities Manager will be directly responsible to the Chief Financial Officer

•    The efficient running of ORT House and its maintenance
•    To ensure that security, maintenance and other central services are carried out
•    Contract Management, budget and procurement  

•    Security – responsible for the buildings security.  Ensures that the security company send its personnel on time and as and when required to be on-site, that they police the building as described in our job description to them.  Deals with alarms, break-ins, police, and the key holder.  Ensures that packages are properly checked.  Suggests security improvements and the flow of personnel through the building.  Maintains surveillance equipment.
•    Cleaning – to ensure that the cleaning and periodic cleans are completed as per the cleaning specification, as contracted
•    Health and Safety – acts as the company’s health and safety manager.  Liaises with fire department and external organisations.  Ensures that personnel are properly trained in health and safety. Maintains routine checks, including Fire, Domestic Water and General Health & Safety
•    Reception – ensures that reception properly staffed and that changeover from Security Company to internal reception is operating.  Responsible for ensuring proper security of personnel attending conferences.  Ensures that people working in the building are properly checked.  Responsible for running of parking, gate and shutter operations
•    Internal services – ensures the efficient running of post and office supplies.
•    Major Maintenance – responsible for the routine maintenance of plant and machinery is carried out by outside suppliers. Work includes the boilers, water treatment, roof, drains, air conditioning, and ventilation, lifts and other internal building equipment.  Maintains long term major works programmes.
•    Small routine maintenance – manages on-site handyman work to include any small building problem such as lights, water, small repairs, painting and decorating, carpets, removals and moves, plumbing, carpentry, electrical, office machines etc.
•    Internal building modifications – acts as the liaison with external architects and builders.  Ensures projects are carried out on time and at the agreed cost.
•    Negotiates with external suppliers on prices and services for the building.
•    Deals with building insurance.
•    Responsible for an annual budget, reporting directly to the Chief Financial Officer.
•    Responsible for all new and existing building projects from implementation to completion.
•    Responsible for resolving all technical faults and problems pertaining to all existing and new projects.
•    Tenants – ensuring all tenants are fully updated with building and plant issues and ensure any problems they have are appropriately dealt with – in charge of tenants invoicing
•    Any other tasks requested by the CFO
•    Coordinate with external clients in running weekend events
•    Evaluate Risk Management & Method statements prior to issuing work permit to contractors

Office hours are 9.00am – 5.30pm Monday to Thursday and 9.00am - 2.00pm on Fridays.

This role may involve working out of hours and occasional weekend work.
