Administrative Assistant to the Director General’s office- World ORT

LOCATION: Camden Town, London

General assistant to the Director General’s office including the Director General & other senior staff

The Administrative Assistant will be responsible to the Director General and CEO and in his absence, to the Executive Assistant and will be part of the Director General’s office team.

1. To be bi-lingual in English and Hebrew (English as your first language) and be highly proficient in verbal and written communication in both languages
2. Previous proven experience in a similar role
3. Ability to work flexibly with people of different cultures, languages etc.
4. An eagerness to work in the charity sector
5. The ability to work under pressure
6. To be able to work on each area of responsibility flexibly and within time constraints
7. To work to a high standard at all times
8. To have excellent organisational and administrative skills
9. To work proactively as well as reactively
10. To be willing to work out of office hours as required
11. To ensure that adherence to appropriate confidentiality takes place
12. To understand the responsibilities of working as part of a team by supporting and assisting other colleagues
13. To understand the work & programmes of World ORT
14. To be able to work within an international organisation with both lay leaders & professional staff
15. To participate in other activities of World ORT as required
16. To have high attention to detail and take pride all work

1. Successfully manage and maintain the Director General’s diary
2. Closely support the Executive Assistant
3. Work as an integral team member of the Director General’s area
4. Manage all international travel arrangements
5. Prepare materials for all meetings
6. Relationship management with key lay leaders
7. Answering the phones and dealing with internal and external enquiries
8. To support in all areas of correspondence whether by email, letter or report writing
9. To be highly proficient in all Windows applications specifically Outlook, Word, Excel & Powerpoint and other IT applications
10. Meeting preparation including minute taking
11. General administrative support including hosting meetings
12. Following protocol with respect to financial procedures
13. Ensure the smooth running of the Director General’s office

Office hours are 9.00am – 5.30pm Monday to Thursday and 9.00am - 2.00pm on Fridays.
This role may involve working out of hours and occasional international travel.
